Define a useful handover
A project is easier to take forward when the next person can understand what was delivered. Identify the records your team needs: architecture notes, configuration, interface maps, operating instructions and unresolved issues. Ask for formats that the receiving team can use. A folder of screenshots is not automatically the same as maintainable documentation.
Name account and asset owners
For each repository, environment, subscription and service account, agree who owns it and who can authorise access. Separate an organisation-controlled account from an account held by the provider. Make transfer dependencies visible before they become urgent. Your contract should address ownership and permitted use with appropriate professional review where needed.
Rehearse the next step
Ask who will receive the handover and how they will confirm that it is usable. An administrator walkthrough, a support exercise or a controlled recovery test can expose missing instructions. Match the activity to the service being purchased. Include the time required from your own staff so acceptance does not depend on people who were never scheduled.
Make exit a manageable transition
Discuss notice periods, export formats, access removal and assistance with a replacement provider. Identify what work is included and what would require a separate charge. Keep retained information and deletion decisions explicit. BlueBlocks helps make these requirements comparable; the selected provider and your organisation agree the delivery and exit obligations.
Turn the guidance into your brief.
Record the outcome, scope, assumptions and outstanding decisions in a shared requirement. Ask every invited provider to respond to the same version, and keep missing information visible rather than treating silence as agreement.
BlueBlocks helps structure that conversation. Specialist discovery that requires substantial work can be quoted as its own project before implementation is commissioned.
Take these questions into the conversation.
- Which accounts and records belong to our organisation?
- Who will demonstrate the handover?
- What exit assistance is included and what is chargeable?
Explore the work behind this question.
When the next step needs specialist expertise, start with a focused requirement. Explore the service, then talk to BlueBlocks about what fits your organisation.
